CPAf holds seminar on records management

To enhance the knowledge and skills of its administrative staff on records management, CPAf conducted the “Seminar on Records Retention and Disposition Procedures” last May 26, 2017 at CPAf Rooms 303-304. Speakers and facilitators were from the Records Management Office (RMO) under the Vice Chancellor for Administration of UPLB. 

RMO Chief Apolonia L. Talatala delivered the first part of the lecture. She discussed the Records Disposition Program (RDP), which refers to the predetermined, well-arranged, and coordinated plan of activities for retention, preservation, and destruction of records. Its activities include records inventory, records appraisal, records scheduling, and RDP implementation (disposal and transfer).

“Well-implemented RDP saves space, time in locating records, equipment, and records”, she emphasized.

Following the lecture is the workshop on records appraisal. Grouped into three, the participants identified the documents’ utility value - administrative, legal, fiscal, historical, or research value.  

After the workshop, Mr. Allyson B. Calapine, in charge of RMO’s Non-Current Section, continued the lecture on records disposition schedule. According to Mr. Calapine, “disposition of records involves destruction, transfer to inactive storage (records center) with destruction at a specified later date, or transfer to archives for permanent preservation.” He also enumerated the various methods and procedures of disposal.

At the end of the seminar, Mr. Gino Andrei L. Talatala, administrative assistant at the Office of the Dean of CPAf, shared the 1CPAf1System as an integrated, multi-faceted database system, which he created for the college.  This digital system is designed to increase efficiency in receiving, monitoring, storing and retrieving documents.
